TIME-SENSITIVE CHANGES ARE COMING TO SU CLUBS MANDATORY REQUIREMENTS

These changes impact both existing SU Clubs and new club applications.

  • Between March 20 and May 15, 2024, all clubs wishing to maintain active status for the 2024-25 academic year must complete the Re-Registration Form through ClubHub.
  • Between March 20 and May 15, 2024, all applications to form new clubs for the 2024-25 academic year must be received through the Register an Organization process through ClubHub.
  • There will be no exceptions for clubs who do not re-register within this time period.

Hi Clubs,

This year we are introducing a new process known as “Re-Registration” that is mandatory for all Registered Student Organizations (SU Clubs) to complete. Re-Registration is a mandatory requirement in order to be considered active for the upcoming academic year (2024-2025).

To successfully complete the Re-Registration process, clubs are required to provide the following:

  • A properly ratified governing document (i.e., bylaws or constitution) updated in the last 5 years.
  • A comprehensive member list in which there are a minimum of 20 members (at least two-thirds of total members must be current undergraduate students). The list must contain the full name of each member, along with their UCID and an indication if they are an undergraduate student, graduate student, faculty member, community advisor, etc.
  • Club bank account bank statement from the last 3 month.
  • A list of the club’s income and expenditures for the year.
  • Club transition plans and confirmation of new Executive membership team.

Please note, the Re-Registration form for this year opens on March 20th and closes on May 15th. This form will be available to all clubs, including currently frozen clubs. This will be the ONLY opportunity clubs have to Re-Register for the upcoming academic year.

Clubs who fail to complete Re-Registration within this window of time will be marked as INACTIVE for the upcoming academic year and will lose all privileges associated with being a registered SU club, including but not limited to access to free space, funding opportunities, and various other forms of support.
There will be NO EXCEPTIONS GRANTED under any circumstances for failing to complete Re-Registration before the May 15th deadline.

If you have any questions or need assistance with this mandatory process, please feel free to contact the Clubs Office at clubsoff@ucalgary.ca or stop by our office (MSC 279B) during office hours from 10 AM – 12 PM or 2 – 4 PM, Monday through Friday.
